Password Protecting Your Gallery - Pro Cloud Account
For private events where you want to restrict gallery access to invited guests only, Foto Master Cloud allows you to set a password on your online gallery. This article explains how to enable password protection and when to use it.
Enabling Password Protection
To add a password to your event gallery:
- Log in to cloud.fotomaster.com.
- Navigate to Events and select the event.
- Go to Gallery Settings > Access.
- Toggle Set Gallery to Private to on.
- Enter your desired password.
- Click Save.
The gallery is now protected. Anyone who tries to access the gallery will be prompted to enter the password before they can view any photos.
Setting a Gallery Password
When choosing a password, keep these guidelines in mind:
- Keep it simple and memorable -- Guests will need to type this in, often on their phones. Short, simple passwords work best (e.g., "SmithWedding2025" or "TechGala").
- Share it clearly -- Make sure guests know the password. Include it on signage at the booth, on QR code cards, or communicate it through the event organizer.
- Avoid special characters -- Stick to letters and numbers to minimize typing errors on mobile devices.
- One password per gallery -- Each gallery has a single password that all authorized guests use.
You can change the password at any time by returning to the gallery access settings and entering a new one.
Tip: Coordinate with the event organizer on the password. Many operators use the event date, couple's names, or company name as the password since it's naturally known by attendees.
How Guests Enter the Password
When a guest visits a password-protected gallery, here's what they experience:
- They open the gallery link (via QR code, email, SMS, or direct URL).
- A password prompt screen appears, styled with your gallery branding.
- The guest types in the password and clicks Enter or Submit.
- Once authenticated, they have full access to the gallery and can browse, download, and share photos.
- The session is remembered on their device, so they don't need to re-enter the password if they return later during the same browser session.
If a guest enters the wrong password, they receive an error message and can try again. There is no lockout after failed attempts.
When to Use Password Protection
Password protection is recommended for:
- Private events -- Weddings, private parties, and family gatherings where photos are intended only for attendees.
- Corporate events -- Company events, retreats, and conferences where photos may include proprietary content, branding, or internal personnel.
- VIP events -- Exclusive events where gallery access is part of the premium experience.
- Client requests -- Whenever the client specifically asks for restricted gallery access.
Password protection may not be necessary for:
- Brand activations -- Public-facing events where you want maximum sharing and reach.
- Festivals and open events -- Events where broad gallery access drives engagement and marketing.
- Portfolio building -- Events where you want photos to be widely visible to attract future clients.
Tip: Even with password protection enabled, individual photo links sent via email or SMS allow guests to access their specific photo without entering the gallery password. This provides a good balance of convenience for individual guests and privacy for the full gallery.
Removing Password Protection
If you decide to make a gallery public after it was password-protected:
- Go to Gallery Settings > Access.
- Toggle Password Protection to off.
- Click Save.
The gallery is immediately accessible to anyone with the link; no password required.
